Guests can book rooms by phone, email, or in person, and the process varies slightly depending on the method.
- By phone:
- Go to the Mews Timeline.
- Check if we have any rooms available for their full stay (available rooms appear as blank spaces in the timeline).
- Go to Mews > click "Reservation".
- When the new reservation window opens, click the "Select" blue button for "Stay".
- Choose the dates the guest is requesting (i.e. September 25th-27th).
- Type the guest's name under "Customer*".
- If it's a returning guest, their name and email will appear in a list of options. You can click the name and Mews will automatically fill in their information (for example, Philip Navarro is calling to book a room).
- If it's a new guest, click the "New customer" option and fill out the information > click the "Create" blue button. You only need to take their first name, last name and their email address (getting their email is crucial because we send them their confirmation, room number and room key code directly to their email).
- If it's a returning guest, their name and email will appear in a list of options. You can click the name and Mews will automatically fill in their information (for example, Philip Navarro is calling to book a room).
- Scroll down to the "Availability" section > let the guest know what rooms we have available for the dates they requested along with the different rates and prices.
Note: The blue "+" signs mean we have that room type available and the red "+" signs mean we don't have that room type available during those dates. - Once the guest tells you what room type they want, click the blue "+" > click the blue "Next" button.
- In the "Details" section, make sure to select "Telephone" under "Origin*" > click the blue "Book now" button.
- The guest's reservation will automatically open > go to "Payments".
- Click "Payment method" > ask the guest for their credit card information > click "Create".
- Let the guest know that they will receive a confirmation email briefly with all their reservation details and that we do not use physical keys anymore, so they will receive their "Room Number and Room Key Code" email on the day of their arrival at 12:00 pm (noon Vancouver time).
- By email:
When a guest has requested to book a room through email, you must check the availability in the timeline first. Once you have confirmed that we have rooms, take the guest's details like name, email, check-in and check-out date, and repeat steps 1 to 8.
- In the "Details" section, make sure to select "Email" under "Origin*" > click the blue "Book now" button.
- You must send a credit card authorization form in pdf to the guest to keep the reservation. Without a credit card on file, we must cancel the reservation.
- Once we receive the signed credit card authorization form go to "Payments" on the guest's reservation > click "Payment Method" > add the credit card information and click "Create".
- Go back to the "Status" tab > click the guest's name.
- Add the signed credit card authorization form to the "Files" section.
6. Let the guest know that they will receive a confirmation email briefly with all their reservation details and that we do not use physical keys anymore, so they will receive their "Room Number and Room Key Code" email on the day of their arrival at 12:00 pm (noon Vancouver time).
- In Person
When a guest comes in person to book a room, there can be two scenarios: they want to book for the same day, so it falls under the "Walk-in" category, or it might be a reservation for the future.- If the reservation is for the future, then you can book them following the same steps as the "By phone" section mentioned at the beginning.
- If it's a guest looking to book for the same day, the steps are as follows:
- Follow steps 1 to 6 from the "By phone" section.
Please note that clean rooms appear with a green dot next to the room number and dirty rooms appear with an orange. So when you are going through the timeline, please make sure the room is clean and empty before booking it for the guest. - You will notice that the rates appear as "restricted" for you to book the guest, so you must select "Walk-in same-day booking" under the Public Voucher tab.
- Select the room type we have available and that the guest has agreed and follow steps 5 to 11 from the "By phone" section.
- Go to Goki Webpage/App > click on "Spaces" > type in the search bar the room number of the guest > click the correct room number > click "PINs" tab > take the 4-digit PIN next to the guest's name.
5. Inform the guest about their room number and their new Room Key Code.
